Run an E-Trace report (email distribution tracking)

Use this procedure to monitor the email distribution status of your issued documents and identify delivery problems.

  1. Go to Reportes de Gestión.
  2. Select E-Trace.
  3. Enter your search criteria (NIT Receptor, Prefijo, Numeración, Fecha Ingreso, Fecha de Expedición) and click Buscar.

The report has two sections:

Summary (Resumen)
Shows the total documents issued (Emitidos), documents distributed by email (Distribuidos por mail), and documents not distributed by email (No Distribuidos por mail).
Detail

The detail section shows the email delivery status for each document.

You can resend with a corrected address from the E-Trace detail view, or go to the document in Gestión Documental, open it, and click Enviar por email to enter a new address. If the incorrect address came from the Receptors table, update it in Panel de Control > Administración de Receptores.
Mail inválidoInvalid email address.Check the email address format. If the address comes from the Receptors table, correct it in Panel de Control > Administración de Receptores. If it comes from the DIAN registry, the recipient must update their registered email with the DIAN. Then resend the document.

The detail view also shows a breakdown by document type: F.E. (Factura Electrónica), B.E. (Boleta Electrónica), N.C. (Nota de Crédito), and N.D. (Nota de Débito). Click a number in the report to see the individual documents and recipients.

Note: A low failure rate (around two percent) is normal. If failures increase significantly, review your recipient email addresses in Panel de Control > Administración de Receptores and verify that the email addresses in your ERP integration data are correct. For documents distributed to DIAN-registered emails, the recipient must update their email directly with the DIAN.
